What personal data we collect and why we collect it


Per our security’s data processing agreement and standard contractual clauses, we keep the data until we no longer have a business need for it which is appropriate under GDPR as it was collected under a legitimate interest to provide security. It is necessary to keep some data as malicious IPs don’t stop being malicious on a schedule. Generally we delete data after 90 days as it’s no longer needed. Per GDPR, when we no longer have a business need for it, it’s deleted. But some IPs we keep longer, such as those on the IP Blacklist, until they stop being malicious. You can read more here.

Contact forms

Our contact form will access your contact information cookie to make it simpler for you to fill out the form by suggesting previously used information.

Documentation application

Access permission

Our documentation application will not send us any data. It will ask for your permission to access your:

  • Location to place the information on the image taken or on an image without location information.
  • Camera to take a picture of object you want to document.
  • The email you want to send the documentation.
  • Image storage to find a previously taken photo and use the location information stored on the image if any.

What the application does

Receiving address:

You may choose between the stored emails or input another email of your choosing, then choose if you want to take a new photo or use an existing one.

New photo:

The camera button will ask for your permission to access your camera if you haven’t already given the app the permission to use it, and launch the camera. It will also ask for your permission to use your location if you haven’t already given it in order to find the address and calculate the UTM 32 coordinates.

Existing photo:

If you have already taken a photo that you want to send, you can search for the photo using the «søk» button. The application will ask for your permission to access your storage in order for you to select the image and your location to use your current location if your photo does not have location data stored. If you have already given the application these permissions it will just open the file search.

Drawing a new photo with coordinates:

Regardless if it is a new photo or an existing one the app will store an image with UTM coordinates drawn on the image to a folder created by the app on your internal storage. If you opt to use an existing photo, the photo will be copied to let the original stay intact. You have the ability to delete the drawn photo from your storage if you no longer need it.

Mail content:

The subject and the content of the message will be automatically filled. The address retrieved from the current location or the location data stored on the photo will be set as subject, and the time, date and location will be filled in the message. You may change the subject if you see fit and add an additional message.

Sending the mail:

Now that the mail is filled with receiver, subject, message and a photo it will now allow you to send the mail using the gmail account you selected. If no account was selected the app will ask for you to select an account. When the account is selected the application will use your gmail account to send the documentation. Lastly the application will notify you when the email is sent and clear all the fields except the receiving email.

What information is being sent:

The app itself does not collect any data. However the information that is being used by the application will be stored as an outgoing email on your account just as a normal mail, and of course the receiving email will get the data you sent. Notably the data will be processed through your email service provider and the receivers.

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
